JOB SUMMARY:

The Finance Manager’s primary function is to perform various aspects of financial management, including accounting, management and financial reporting, budget and forecast preparation, and assist the Associate Director in developing internal control policies and procedures to mitigate risk for the Registered Nurses' Association of Ontario.

RESPONSIBILITIES:

  • Support on financial, accounting and auditing for the association to pass annual audit without material finding 
  • Ensure accuracy in treasury, revenue and investment portfolio accounting
  • Ensure that financial transactions are accurately recorded and reported in compliance with regulations and standards
  • Support Director of Finance & Administration (DoFA) in analyzing financial data and provide insights to support decision-making and solution-proposing
  • Supervise and support the accounting team, etc.: accounting administrator and assistant

Accounting and Payments

  • Collaborate with the key budget holders of RNAO to prepare the annual budget for special projects, adhering to agreements such as provincial, federal, or partnership projects
  • Supervise the senior accounting administrator and accounting assistant to ensure oversight of accounting transactions and guarantee accuracy, completeness, and timeliness. Timely notification of potential accounting risks to the associate director, along with suggested solutions, is essential
  • Prepare the special project quarterly and annual reports and statements for the Associate Director to review, approve, and submit
  • Perform monthly reconciliation and closure on AP, AR, Bank, cash, Prepaid, Revenue, Investment accounts, and intercompany transfers and recharge
  • Prepare and remit the HST, HOOPP, WSIB, Union Dues, and other statutory remittances in a timely manner
  • Ensure punctual and accurate payment processing, as well as precise reconciliation and recording of revenue
  • Periodically reconcile incoming fund transfers and ensure correct recording

Audit and Internal Control

  • Ensure thorough review and monitoring of all financial transactions across accounts to guarantee audit readiness
  • Responsible for leading and preparing the annual audit of special projects
  • Provide assistance to the Associate Director in conducting quarterly/periodic desk audits and reviews pertaining to all RNAO funds
  • Collaborate with the Associate Director to identify internal control processes requiring enhancement or refinement and execute necessary process changes 
  • Support the Associate Director in facilitating year-end external audits, ensuring compliance with statutory audit requirements (GAAP, IFRS, ASNPO)
  • Ensure adherence to best practice standards and organizational policy in payments and procurement. Immediately report any discrepancies and risks to the Associate Director and DoFA

General

  • Ensure day-to-day management and conduct annual evaluations of the senior accounting administrator and accounting assistant
  • Acts as the main contact for setting up AP accounts for staff, members, and associates
  • Make sure the RNAO accounting application functions properly, and address and follow up on any issues until they are resolved
  • Provide daily customer service to external and internal stakeholders regarding payments, invoicing, etc., in the best interests of the association
  • Perform other assigned tasks as requested

KNOWLEDGE, EXPERIENCE AND SKILL:

  • Advanced degree in accounting and designated CPA with good standing
  • Minimum 5-year experience with demonstrated progressive responsibility at a senior level and minimum of two years of managerial experience
  • Ability to work within a digital information management environment, keenly interested in adapting financial management to new platforms and digital formats
  • The candidate must have up-to-date knowledge of accounting standards and requirements
  • Excellent written and verbal communication and interpersonal skills to effectively deal with staff and outside contacts, write reports, present complex information, answer telephone inquiries, provide advice, represent the association, negotiate issues, and attend meetings
  • Dexterity is required when operating a computer, telephone, and other office equipment

EFFORT:

  • Workflow requires reacting to unscheduled events, issues, or situations that require quick responses to resolve problems and continuous re-prioritizing of workload, meeting multiple demands, and working overtime as required
  • Very high attention to detail to ensure the accuracy of all financial information
  • Required to maintain a high degree of confidentiality of internal and external information 
  • Continuous concentration is required to read a large volume of information daily, prepare written reports and develop responses
  • Sight, touch and hearing are used to read, proof-read, write and analyze information, and to answer inquiries
  • Sitting is required for more than 2 hours at a time to attend meetings, read and write information, work on the computer, and answer the telephone

WORKING CONDITIONS:

  • Works in a climate-controlled office with frequent exposure to distractions, interruptions, and stress from multiple demands
  • Typical conditions are such that no risk of injury is present
